Abstract

The executive’s business includes (but is not restricted to):

  • Ensures Cities on Volcanoes are organised every two years, on a non IAVCEI/IUGG year including:
    • Announces the call for proposals for the next COV
    • Administers the proposal process (as per separate procedure on vHub)
    • Votes on and selects the next host and announces this
    • Provides advice to conference organisers as needed, and prompts them to keep to a timeline as needed.
    • Liaises with IAVCEI and the next conference organisers while a COV is in development
    • Promotes improvements to COV meetings and their benefit over time, including
      • More local and global inter-disciplinary participation.
      • Long-term involvement and ongoing engagement with meeting alumni.
  • Reports to IAVCEI for Volcanic Ashfall Impacts Working Group, and liaison with that group ad hoc
  • Reports to IAVCEI for the SpringerOpen Journal of Applied Volcanology, and liaison with the Editor in Chief ad hoc
  • Liaises with the other commissions in the Mitigation of Volcanic Disasters Liaison Committee (see below)
  • Maintains online resource exchange/clearinghouse for public education and teaching resources at vHub
  • Maintains a membership list as the commission members on vHub
  • Sends a regular newsletter and ad-hoc emails to members as needed
  • Holds an executive meeting at each IAVCEI and IUGG assembly.
  • The immediate past Leader will be an ad hoc regular Executive member for the following term to facilitate transition of the business of the Commission.
  • Organises four yearly elections as follows:
    • Commence every four years at least a month before IAVCEI scientific assembly
      • Elections are ratified at the IAVCEI scientific assembly because (a) an existing executive is needed throughout COV meetings to assist as needed and (b) a larger proportion of CaV members are likely to be present at IAVCEI than IUGG because of the applied (including non-scientist) collaboration of the commission.
    • Email the membership to check addresses are up to date
    • Email the volcano listserv to check members all received the ‘check’ email, and that they should update their details on vHub if they did not
    • Call for nominations from members for the executive, with a deadline noting:
      • Five members, including one leader, one past leader. A goal is to have at least one executive representative from Latin America if one or more is nominated.
    • Call for votes from members with a deadline.
      • Each member can vote for up to four executive member nominees, including  indicating a preference for the leader
    • Tally the votes
    • Announce the results to new executive, and invite them and ratify at the scientific assembly.
    • Announce results to all members.
  • The Executive Committee will appoint a Leader amongst themselves, taking into account the preferences from the members vote.  The Executive Committee will also appoint a secretary to assist with business of the Commission (typically external).
